The Swedish Schools Inspectorate is a government authority that inspects schools and assesses applications to operate free schools. It has supervisory responsiblity for schools, adult education, after-school centres, preschools and other educational activities. Its aim is to ensure good education in a secure environment. The authority has 440 employees across 5 regions, with a head office in Stockholm were half of its employees are based.
At the start of the assignment, the Swedish Schools Inspectorate had no agreement in place and very limited support from its existing supplier. The agreement that had expired was old and ‘inherited’ from the time when the Swedish Schools Inspectorate was part of the Swedish National Agency for Education. The challenge was that no preliminary study or analysis of needs and requirements had been carried out for some years.
- Produce planning documentation, including price checking and strategy, as well as input data for further work on needs and requirements for CaaS call-off orders of communications services and data networks/WAN.
- Define and document needs for the CaaS call-off order, and compile comprehensive call-off documentation.
- Review and evaluate all tenders submitted for the CaaS call-off order and assist with the supply agreement for the chosen supplier.
The planning phase resulted in more optimised and streamlined required services, and a substantial reduction in overall costs. The advantage of the analysis and planning phase was that we were able to establish that the Swedish Schools Inspectorate did not need new, costly services, and that the right levels of procured services could also be optimised in terms of cost.
